A meeting room
sized just right.
A meeting room is sized from the number of seats: about 70 cm of table edge per person, and 90 to 120 cm of clearance all round to stand up and move. Enter the number of participants: the tool returns the table length and the minimum room size.
The rules behind the calculation
Edge per person: 60 cm is enough for a narrow chair and a short meeting; 70 cm is standard comfort with a laptop; 80 cm suits executive armchairs. Table ends seat one person each if the table is at least 100 cm wide.
Table width: 100 to 120 cm for rooms of 6 to 12 people, 130 to 150 cm for a boardroom table carrying files, microphones and power modules. Too wide a table kills conversation: beyond 160 cm, nobody passes a document across.
Clearances: a pushed-back chair takes about 60 to 75 cm from the table edge. With 90 cm of passage behind it, comfort calls for about 1.5 m between table edge and wall. The tool gives the minimum room with 1 m of clearance all round: allow more if people need to walk behind occupied chairs.
The tool does not account for the maximum occupancy set by fire regulations, nor for an accessible place for a wheelchair user: plan at least one accessible place at the end or side of the table, with a clear approach.
Choosing the table shape
A boardroom table over 5 m is usually made of two or three tops joined on shared bases. Joints are placed away from seats, and power modules are spread so everyone has a socket within reach.
- Rectangular: the most space-efficient, ideal up to 14 seats.
- Barrel or oval: participants see each other better and the video camera frames everyone.
- U or V shape open to the screen: for training rooms and hybrid meetings.
- Round: up to 6 to 8 people; beyond that, the centre is wasted.
Chairs: two hours of comfort
Meetings often last more than an hour: a meeting chair must stay comfortable that long. For intensive use, EN 16139 (non-domestic seating) shows durability. Swivel chairs on castors make movement easier around a large table; four-legged chairs suit smaller, more versatile rooms.
Lighting matters just as much: a linear pendant or a light ring above the table, set to avoid glare, prevents shadows on faces during video calls.
Frequently asked questions
What room size for 10 people?
With a 360 to 400 cm by 110 to 120 cm table and 1.5 m clearance on each side, the room is about 6.5 to 7 m by 4 to 4.5 m, i.e. 26 to 31 m². Add space for a screen and a service unit if needed.
What table length for 14 people?
At 70 cm per person along the sides and one person at each end, 12 side seats need about 420 cm, plus the ends: a 460 to 480 cm table, 120 to 130 cm wide, works. Beyond 5 m, plan a multi-part top.
Should a meeting table have integrated power?
Yes, as soon as participants work on laptops. Plan one module for every two to four seats, with sockets and charging ports, and a cable route to the floor through a leg or a cable spine. Decide the cabling plan before ordering the table.
What height for a meeting table?
Standard height is 72 to 75 cm, with chairs at a 44 to 48 cm seat height. Tables 105 cm high suit short standing meetings, with stools as back-up.
